Boston Corporate Coach™
Reservation Agreement, Terms & Conditions
Effective Date: January 1st, 2026
This Reservation Agreement, Terms & Conditions (“Agreement”) governs all reservations arranged through Boston Premier Coach, LLC, a Florida limited liability company doing business as Boston Corporate Coach™ (“Boston Corporate Coach™,” “BCC,” “we,” “our,” or “us”).
By requesting, booking, confirming, purchasing, paying for, accepting, or utilizing transportation services through Boston Corporate Coach™, whether online, by telephone, by email, through a mobile application, API integration, third-party booking platform, or any other authorized reservation method, you acknowledge that you have read, understood, and agree to be legally bound by this Agreement.
If you make a reservation on behalf of another individual, corporation, organization, or group, you represent and warrant that you are authorized to accept this Agreement on behalf of all passengers and responsible parties associated with the reservation.
1. Rates, Billing & Charges
All rates are quoted and billed in United States Dollars (USD).
Unless otherwise expressly stated in writing, quoted rates include only the transportation services specifically identified in the reservation confirmation.
Additional charges may apply where applicable, including, but not limited to:
- Chauffeur gratuity
- Airport fees
- Regulatory fees
- Parking
- Road tolls
- Surface Transportation Charges (STC)
- Fuel or operating surcharges
- Wait time
- Additional stops
- Child safety seats
- Cleaning or damage charges
- Holiday surcharges
- Late-night or early-morning service charges
- Any other governmental, operational, third-party, or service-related charges applicable to the reservation
Final charges are based upon the transportation services actually provided.
All quoted rates are subject to change without notice. Boston Corporate Coach™ reserves the right, at its sole discretion, to modify, correct, or adjust quoted rates, fees, surcharges, taxes, calculations, mapping errors, administrative errors, system-generated errors, or other pricing inaccuracies at any time. Final charges shall be based upon the transportation services provided and the rates, fees, surcharges, and charges in effect at the time the services are performed.
2. Chauffeur Gratuity
Unless otherwise expressly agreed in writing, a 20% chauffeur gratuity shall be added to all reservations and reflected on the final invoice.
Any gratuity voluntarily provided directly to the chauffeur, whether in cash or by any method outside of Boston Corporate Coach™, is entirely separate from the gratuity charged by Boston Corporate Coach™ and shall be considered an additional voluntary gratuity.
Cash gratuities or other gratuities given directly to the chauffeur shall not be credited against, deducted from, refunded, or otherwise offset against the gratuity charged by Boston Corporate Coach™.
3. Holiday Surcharges
A holiday surcharge of $40.00 applies to reservations occurring on the following holidays:
- New Year’s Eve
- New Year’s Day
- Memorial Day
- Independence Day
- Labor Day
- Thanksgiving Day
- Christmas Eve
- Christmas Day
Comparable surcharges may apply to reservations occurring on recognized public holidays outside of the United States.
4. Transportation Services
Boston Corporate Coach™ provides executive ground transportation reservation management, trip coordination, customer support, billing, quality assurance, and related transportation services through a carefully managed worldwide network of professional transportation providers.
To provide consistent service throughout the United States and internationally, transportation arranged through Boston Corporate Coach™ may be performed by an independently owned and operated transportation company within our professional network (each referred to as a “Local Service Provider.”)
Boston Corporate Coach™ remains your primary point of contact for reservation management, customer support, billing, trip coordination, and quality assurance before, during, and after your reservation.
Each Local Service Provider independently owns, operates, and maintains its vehicles and is solely responsible for its chauffeurs, operating authority, licensing, insurance, vehicle maintenance, and compliance with all applicable laws and regulations.
Nothing contained in this Agreement shall be construed to limit any liability that cannot lawfully be limited under applicable law.
5. Reservation Confirmation
A reservation becomes binding only after Boston Corporate Coach™ has accepted the reservation request and issued a reservation confirmation.
Quotes, estimates, reservation requests, and online reservation submissions do not constitute acceptance until confirmed by Boston Corporate Coach™.
Customers are responsible for carefully reviewing their reservation confirmation immediately upon receipt and notifying Boston Corporate Coach™ of any errors or discrepancies prior to the scheduled service.
Boston Corporate Coach™ shall not be responsible for delays, missed pickups, service interruptions, or additional charges resulting from inaccurate or incomplete information supplied by the customer, including, but not limited to, incorrect dates, pickup times, pickup locations, destinations, airline information, flight numbers, passenger counts, contact information, or special instructions.
6. Customer Responsibilities
Customers are responsible for:
- Providing complete and accurate reservation information.
- Maintaining a working telephone number throughout the reservation.
- Promptly reviewing their reservation confirmation for accuracy.
- Immediately notifying Boston Corporate Coach™ of any reservation changes.
- Providing accurate airline and flight information for airport transportation.
- Being present and ready for pickup at the scheduled time.
- Complying with all passenger conduct requirements contained in this Agreement.
7. Point-to-Point Service
Boston Corporate Coach™ maintains standardized flat-rate pricing between many airports, cities, hotels, business districts, residences, and other frequently traveled destinations.
Flat-rate pricing applies only to the confirmed itinerary reflected on the reservation confirmation.
Changes to the itinerary, route deviations, additional mileage, additional stops, extended wait time, or substantial changes in travel requirements may result in additional charges or conversion of the reservation to hourly service.
8. Wait Time
Wait time begins at the scheduled pickup time or, for arriving airline passengers, the actual flight arrival time reported by the airline, provided accurate flight information has been supplied at the time of booking.
Complimentary wait time includes:
- 60 minutes for international arriving flights.
- 30 minutes for domestic arriving flights.
- 10 minutes for all non-airport pickups.
After the applicable complimentary waiting period expires, wait time shall be billed at $1.75 per minute until the passenger boards the vehicle or the reservation is cancelled or classified as a No-Show.
Although Boston Corporate Coach™ monitors commercial airline arrivals when flight information is provided, passengers remain responsible for notifying Boston Corporate Coach™ of any airline, flight number, airport, arrival date, arrival time, cancellation, diversion, or other itinerary changes.
9. Additional Stops
An additional stop is any intermediate destination requested between the original pickup location and the final destination.
Additional stops requested during a flat-rate reservation are subject to the following charges:

Each additional stop includes up to five (5) minutes.
Waiting beyond five (5) minutes at any stop shall be billed at $1.75 per minute.
Additional stops must remain reasonably along the original direction of travel.
Stops requiring significant route deviations or travel outside the original service area may require conversion to hourly service.
Flat-rate reservations are limited to two (2) additional stops.
Reservations involving three (3) or more intermediate stops, or where the pickup location and final destination are the same location (commonly referred to as a Wait & Return reservation), shall be billed as hourly service.
10. Hourly Service
Transportation between locations where flat-rate pricing does not apply shall be billed as hourly service.
All hourly reservations are billed on a garage-to-garage basis without exception. Billable time begins when the chauffeur departs the originating garage or dispatch location to begin the reservation and concludes when the chauffeur returns to the originating garage or dispatch location following completion of the reservation.
Hourly reservations are billed based upon the total time the vehicle and chauffeur are reserved for the customer’s exclusive use, including travel to the pickup location, transportation services provided during the reservation, and return travel after the reservation has concluded.
In addition to hourly charges, customers are responsible for all applicable tolls, parking, airport fees, chauffeur gratuity, fuel or operating surcharges, and any other authorized charges incurred during the reservation unless expressly stated otherwise in writing.
Hourly service is subject to the applicable minimum hourly requirement for the vehicle reserved. After the applicable minimum has been satisfied, additional time shall be billed in thirty (30) minute increments.
Requests to extend hourly service are accommodated solely based upon vehicle and chauffeur availability and cannot be guaranteed.
11. Reservation Booking Fee
For reservations booked by telephone or email, a Reservation Booking Fee is assessed only if the reservation is cancelled, regardless of when the cancellation occurs.
The Reservation Booking Fee represents the administrative costs incurred in processing, scheduling, staffing, customer service, payment processing, reservation management, and related administrative functions. It is separate from transportation charges.

Completed reservations are not subject to a Reservation Booking Fee.
Reservations booked directly through Boston Corporate Coach™’s online reservation platform are not subject to a Reservation Booking Fee unless otherwise disclosed during the booking process.
12. Cancellations & No-Shows
Cancellation requests must be received before the applicable cancellation deadline shown below.

Reservations cancelled after the applicable cancellation deadline are non-refundable and will be billed in accordance with this Agreement.
A reservation shall be deemed a No-Show if, after the applicable complimentary waiting period, the passenger fails to board the assigned vehicle, cannot be located, departs using alternative transportation without first contacting Boston Corporate Coach™, refuses service after the chauffeur has arrived, or provides incorrect reservation information that prevents completion of the pickup.
No-Show reservations shall be billed at the full reservation amount, including all applicable wait time, parking, tolls, chauffeur gratuity, child safety seat charges, Reservation Booking Fees, and any other authorized charges.
Customers who cannot locate their chauffeur should immediately contact Boston Corporate Coach™ at 800-664-4480 or +1 (617) 652-5555 before making alternate transportation arrangements. Failure to do so may result in the reservation being classified as a No-Show and billed accordingly.
Cancellation policies may be modified during major citywide events, conventions, holidays, severe weather events, or other periods of unusually high demand. Any revised cancellation requirements will be disclosed at the time the reservation is accepted.
13. Flight Monitoring
For airport arrival pickups only, when accurate commercial flight information is provided at the time of booking, Boston Corporate Coach™ monitors published airline arrival information and, when practical, adjusts dispatch timing based upon the airline’s reported arrival status.
Boston Corporate Coach™ does not monitor departing flights. Customers are solely responsible for monitoring departing flights and notifying Boston Corporate Coach™ of any changes to their travel plans, including flight delays, cancellations, schedule changes, or itinerary modifications that may affect their ground transportation reservation.
A delay, cancellation, or schedule change affecting a departing flight does not automatically modify, postpone, or cancel a reservation with Boston Corporate Coach™ and does not waive or alter the applicable cancellation policy. Any request to cancel or reschedule a reservation remains subject to the cancellation terms set forth in this Agreement, regardless of the status of the customer’s departing flight.
Flight monitoring is provided solely as a courtesy for eligible airport arrival pickups and does not relieve the customer of the responsibility to provide accurate flight information or promptly notify Boston Corporate Coach™ of any airline changes, airport changes, cancellations, diversions, delays, or itinerary modifications.
Passengers who are unable to locate their chauffeur upon arrival must immediately contact Boston Corporate Coach™ before departing the pickup location or arranging alternative transportation. Failure to do so may result in applicable wait time or No-Show charges.
14. Payment Authorization
Prior to the scheduled service, Boston Corporate Coach™ may obtain a pre-authorization on the payment method provided for the estimated reservation amount together with an additional authorization of up to fifty percent (50%) to cover chauffeur gratuity, wait time, additional stops, tolls, parking, airport fees, child safety seats, damage, cleaning charges, or any other authorized charges that may be incurred during the reservation.
A pre-authorization is not a final charge and serves only to verify that sufficient funds or available credit exist to complete the reservation.
If Boston Corporate Coach™ is unable to successfully obtain the required authorization before the scheduled service, Boston Corporate Coach™ reserves the right to suspend or cancel the reservation without liability.
By providing a payment method, the customer authorizes Boston Corporate Coach™ to charge that payment method for all amounts due under this Agreement, including transportation charges, chauffeur gratuity, wait time, tolls, parking, airport fees, Reservation Booking Fees, cancellation charges, No-Show charges, damage, cleaning fees, collection costs, attorneys’ fees where recoverable by law, and any other applicable charges authorized under this Agreement.
15. Child Safety Seats
Child safety seats are available upon request, subject to availability, and may be subject to additional charges.
Parents and legal guardians are solely responsible for selecting, installing, and properly securing all child safety seats in accordance with applicable law.
Due to insurance and liability restrictions, chauffeurs are not permitted to install child safety seats.
Boston Corporate Coach™ does not guarantee the availability of child safety seats unless specifically confirmed in writing.
16. Pet Policy
Service animals protected under applicable law are always welcome.
Non-service animals are permitted only with prior approval from Boston Corporate Coach™.
Pets weighing more than fifteen (15) pounds must be transported in an appropriate kennel or crate. Smaller pets must be secured in an appropriate carrier or by leash and may not occupy the front passenger seat.
Customers are responsible for any cleaning, damage, or additional costs resulting from transporting animals.
17. Passenger Conduct
For the safety and comfort of all passengers and chauffeurs, Boston Corporate Coach™ reserves the right to refuse or immediately terminate service without refund if any passenger:
- Threatens, harasses, or abuses the chauffeur;
- Engages in unlawful conduct;
- Possesses illegal drugs or prohibited items;
- Creates unsafe conditions;
- Interferes with the safe operation of the vehicle;
- Becomes excessively intoxicated;
- Smokes or vapes where prohibited; or
- Damages or attempts to damage the vehicle.
Termination of service under this section shall not relieve the customer of financial responsibility for the reservation or any resulting damages.
18. Prohibited Items
The following items are prohibited in vehicles unless expressly authorized by applicable law:
- Illegal drugs or controlled substances;
- Explosives or fireworks;
- Hazardous or flammable materials;
- Open alcoholic beverages where prohibited by law;
- Smoking or vaping where prohibited; and
- Any item that may endanger passengers, chauffeurs, or the vehicle.
Boston Corporate Coach™ and the Local Service Provider reserve the right to refuse transportation of any passenger or property presenting a safety, security, legal, or operational concern.
19. Vehicle Damage & Cleaning
Customers are financially responsible for any damage to the vehicle caused by themselves or any passenger traveling under the reservation beyond ordinary wear and tear.
Boston Corporate Coach™ reserves the right to assess a minimum cleaning or damage charge of $250.00, together with all additional costs reasonably incurred for detailing, sanitization, repairs, replacement, loss of vehicle use, or any other damages resulting from passenger misconduct.
Such charges may be billed directly to the payment method on file.
20. Lost Property
Neither Boston Corporate Coach™ nor any Local Service Provider shall be responsible for personal property left in any vehicle.
Reasonable efforts will be made to assist in locating lost property; however, recovery cannot be guaranteed.
If recovered, all shipping, courier, handling, storage, or related costs shall be the responsibility of the customer.
21. Force Majeure
Boston Corporate Coach™ shall not be liable for delays, interruptions, or the inability to perform transportation services due to events beyond its reasonable control, including but not limited to severe weather, hurricanes, flooding, natural disasters, airline disruptions, airport closures, road closures, traffic accidents, labor disputes, civil unrest, terrorism, governmental actions, public health emergencies, utility failures, technology failures, acts of God, or any other circumstance beyond its reasonable control.
If Boston Corporate Coach™ is legally or physically unable to perform the requested transportation service, transportation charges for the affected service shall not apply.
If transportation services remain available but the customer elects to cancel because of weather, airline disruptions, meeting cancellations, personal travel changes, or similar circumstances, the applicable cancellation policy shall remain in full force and effect.
22. Limitation of Liability
To the fullest extent permitted by applicable law, Boston Corporate Coach™’s total aggregate liability arising out of or relating to any reservation or transportation service shall not exceed the total amount actually paid by the customer for the specific reservation giving rise to the claim.
In no event shall Boston Corporate Coach™ be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, including but not limited to lost profits, lost business opportunities, business interruption, missed flights, missed meetings, emotional distress, loss of goodwill, or similar consequential losses, regardless of the legal theory asserted.
Nothing contained in this Agreement shall limit liability where such limitation is prohibited by applicable law.
23. Chargebacks
Customers agree not to initiate a chargeback or payment dispute for charges properly authorized under this Agreement.
In the event of an improper chargeback or payment dispute, Boston Corporate Coach™ reserves the right to pursue all available legal remedies, including recovery of the disputed amount together with collection costs, administrative expenses, attorneys’ fees, court costs, interest where permitted by law, and any other damages recoverable under applicable law.
24. Collections
Boston Corporate Coach™ reserves the right to utilize any lawful means available to collect unpaid balances.
Customers shall be responsible for all reasonable collection costs, attorneys’ fees, court costs, interest permitted by applicable law, and expenses incurred in collecting any unpaid balance.
25. Governing Law & Venue
This Agreement shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law principles.
Any action or proceeding arising out of or relating to this Agreement shall be brought exclusively in the state or federal courts located in Orange County, Florida, unless otherwise required by applicable law.
26. Privacy & Communications
Customer information is collected, used, stored, and disclosed in accordance with Boston Corporate Coach™’s Privacy Policy and applicable law.
To improve customer service, verify reservation details, provide quality assurance, resolve disputes, protect the interests of Boston Corporate Coach™, and comply with legal obligations, telephone calls and other communications with Boston Corporate Coach™ may be monitored or recorded where permitted by applicable law.
By communicating with Boston Corporate Coach™, the customer acknowledges and consents to such monitoring or recording to the extent permitted by law.
27. Independent Contractor Relationship
Transportation services arranged through Boston Corporate Coach™ may be performed by independently owned and operated Local Service Providers.
Local Service Providers are independent contractors and are not employees, agents, partners, joint venturers, or legal representatives of Boston Corporate Coach™. Nothing contained in this Agreement shall be construed as creating an employment, agency, partnership, joint venture, or similar legal relationship between Boston Corporate Coach™ and any Local Service Provider.
28. Jury Trial Waiver
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, THE CUSTOMER AND BOSTON CORPORATE COACH™ KNOWINGLY, VOLUNTARILY, AND IRREVOCABLY WAIVE ANY RIGHT TO A TRIAL BY JURY IN ANY ACTION, PROCEEDING, OR CLAIM ARISING OUT OF OR RELATING TO THIS AGREEMENT OR THE SERVICES PROVIDED HEREUNDER.
This waiver applies regardless of whether any claim is based in contract, tort, statute, equity, or otherwise.
29. Electronic Acceptance
By requesting, booking, confirming, purchasing, paying for, accepting, or utilizing transportation services through Boston Corporate Coach™, the customer acknowledges that electronic acceptance of this Agreement shall have the same legal force and effect as a handwritten signature.
30. Severability
If any provision of this Agreement is determined by a court of competent jurisdiction to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
31. Entire Agreement
This Agreement constitutes the complete and exclusive agreement between the customer and Boston Corporate Coach™ relating to the reservation and coordination of transportation services and supersedes all prior or contemporaneous oral or written communications relating to its subject matter.
No waiver, amendment, or modification of this Agreement shall be effective unless made in writing and authorized by Boston Corporate Coach™.
