A confirmed flat rate includes gratuity, fuel, and tax. Other applicable charges, including tolls, parking, airport fees, child safety seats, holiday fees, waiting time, and requested or incurred services outside the original reservation, are calculated upon service completion.

The important distinction is that there are no hidden fees. The client is confirming the trip as reserved. If the scope of the reservation changes or additional pass-through expenses are incurred, those items may affect the final invoice.

What “All-Inclusive” Means

“All-inclusive” means the confirmed price includes the known charges for the trip as reserved. It does not mean unlimited use of the vehicle, unlimited wait time, unlimited stops, or unlimited changes after service begins.

A final invoice may change if the passenger adds stops, changes the destination, extends service, requires additional waiting time, requests child safety seats, incurs tolls or parking, travels during a holiday-fee period, or requests services outside the original reservation.

During these periods, vehicles may need to be secured in advance, availability may be limited, and cancellation terms may be stricter because the market conditions are different. Rates may differ from a client’s normal route pricing when demand, access, vehicle availability, or event requirements change.

If a sedan was reserved but the passenger count, luggage, or program requirements require an SUV, Sprinter van, or even a mid-size coach or motor coach, pricing will change.

Some trips involve tolls, parking charges, airport fees, child safety seats, holiday fees, access permits, venue staging fees, or special routing requirements. When those items are known in advance, they can be included in the quote or reflected in the reservation terms. When they occur during the trip, they may appear on the final invoice.

Once a chauffeur and vehicle have been assigned, the service provider has committed resources. Cancellation terms may vary by vehicle type, market, service type, and event conditions.

Boston Corporate Coach™ monitors the commercial flight number provided at booking. If the flight is delayed, chauffeur positioning is adjusted. The client is not charged more simply because the airline delayed the flight.

For commercial airport arrivals, chauffeurs are positioned based on the flight information provided at booking. Boston Corporate Coach™ monitors commercial flights and adjusts for airline delays. Wait time begins from gate arrival, not touchdown.

Boston Corporate Coach™ also provides a grace period for commercial arrivals:

  • Domestic arrivals include a 30-minute grace period after gate arrival. International arrivals include a 60-minute grace period after gate arrival. Additional waiting beyond those grace periods may be billed.
  • For non-airport pickups, a 10-minute grace period applies after the confirmed pickup time. After that period, wait time may begin.

If the traveler requires additional time beyond the included window, waiting time may apply.

What Happens If a Commercial Arrival Flight Is Canceled?

For commercial airport arrival pickups, if the airline cancels the flight before pickup occurs, Boston Corporate Coach™ does not charge the client for that canceled arrival pickup. Once replacement flight information is available, the reservation can be updated accordingly.

If the new arrival falls during a special event period or high-demand market day, the updated reservation may be subject to different rates or terms. In that situation, the client is advised before the revised service is confirmed.

What Happens If a Flight Is Diverted?

If Boston Corporate Coach™ is notified that a flight has diverted before the chauffeur is dispatched, the reservation can be placed on hold while the team contacts the booker and passenger.

The operations team attempts to reach the appropriate contact through phone, email, and text to determine the next step. If the passenger will arrive later on the same flight, the chauffeur assignment can be adjusted. If the passenger needs transportation from a different airport, the trip scope and pricing may change.

Private Aviation and FBO Pricing

Private aviation pricing works differently from commercial airport service because the reservation is often controlled by the client’s requested staging time, flight department instructions, FBO procedures, and the level of ground support required.

Private-flight information may be restricted or dependent on updates from the passenger, assistant, flight department, operator, or FBO. For FBO arrivals, the scheduled reservation time is typically the controlling time unless updated instructions are provided.
